Position summary

Administrative Secretary (Job Opening 440829) - Functions as an Administrative Secretary in the Department of Urology; serves as a primary point of contact; edits and proofs manuscripts; assists with reconciliation of grant financials and budgets; coordinates faculty calendar(s) by scheduling and organizing meetings, conferences, and interviews; arranges and confirms logistics for meetings including reservations of location, room set-up, catering services, and audio-visual equipment; compiles and formats talking points for events; makes travel and lodging arrangements; prepares and processes reimbursement for travel related expenses; screens and handles complex incoming telephone calls; processes and appropriately distributes mail to assure proper handling and follow-up as necessary; assesses concerns or problems directed to the office and delegates to appropriate person to manage; assists in recruitment and hiring of staff; serves as equipment coordinator and oversees assignment and inventory of equipment; assists with assignment of administrative support coverage in event of vacations or long-term leaves; maintains connections with professional organizations;

Education and experience

Per CCS Requirements. Six mos experience (600 hrs training) using computers to generate a variety of materials ranging from basic to complex; Six mos experience (600 hrs course work) in office practices and procedures; 6 mos experience (600 hrs course work) in customer service; experience in an academic research environment desired; experience with IRB and grant financials desired.
