For all after hours events, building and rooms are to remain attended while unlocked. After hours scheduling requires that an appointee from the scheduled event be in the building for the entire duration of the event. This appointee must monitor unlocked doors at all times and remain in the building until doors are electronically locked. If there is a lock failure, contact Wexner Medical Center (WMC) Security at 614-293-5000. For buildings where after hours access is not managed by WMC Security, call OSU Facilities Operations & Development, Service2Facilties at 614-292-4357 (HELP) or the OSU Department of Public Safety, Security Services at 614-292-6677.

OSU Standards Governing the Use of Outdoor Space at The Ohio State University – A registered student organization, University department, University organization or a University faculty or staff member must sponsor all activities scheduled on University property. These standards apply to all outdoor spaces on the Columbus campus of The Ohio State University and can be found here or under Course & Event Related section of Scheduling page on the University Registrar website here. Highlights include:
- No tents requiring staking may be set up without prior approval from Facilities Operations and Development. It is recommended that expandable 10x10 “pop-up” tents be used when possible.
- No home cooking, including bake sales.
- No liquid beverages competing with Coca-Cola products are permitted to be distributed on campus.
- Sponsoring organizations are responsible for any damage of the grounds. The sponsoring organization shall repair the damage to the satisfaction of Facilities Operations and Development, or pay for others to complete.
NOTE: Only BRT, James, and Ross have room setup providers for tables and chairs.

Davis Heart and Lung Research Institute (DHLRI) - There is not a group that provides room setup for tables and chairs in DHLRI. Rooms are provided "as is" and users are expected to reset the room at the conclusion of their event to the configuration it was provided in at the start of their event.

James Cancer Hospital and Solove Research Institute - Room Setup for tables and chairs in The James is provided by Environmental Services (EVS). General Food Guidelines:
- Ohio State University encourages all groups to use licensed caterers for all food preparation and service.
- No cooking may occur in Medical Center buildings.
- No canned heat products can be used, except by OSUWMC Nutrition Services staff or an approved catering company.
General Fundraising Guidelines:
- No bake sales or sale of homemade foods.
- Only pre-packaged baked goods and snack foods with contents listed on the manufacturer label may be sold.
- No raffles or other “games of chance” may be conducted.

Alcoholic Beverages - If you wish to serve alcohol at a University event held on campus at any location that does not already have a liquor license, you must obtain prior University approval to do so. The OSU policy on alcohol can be found here and on OSU’s University Policies webpage under Facilities and Safety here.
Alcohol approval requests should be made in the form of a written memo addressed to Office of Legal Affairs, 33 West 11th Avenue, Suite 209. The request should be sent at least two weeks before the event, state all details of the event (e.g. date, time, location, who will attend, etc.) and state that alcohol will be served.

Dr. Thatcher’s office will review the request and fax it to the Office of Legal affairs. Legal Affairs will review the request and, when all of the required information is complete, they will forward it to the Office of Business and Finance for final approval. You will then be informed of the decision. If a state permit is necessary, they will assist you in completing the appropriate application.

Temporary Signage, Graphics, or Exhibits - Written requests for notices, posters, temporary graphics, exhibits or other items that are visible from any public should be directed to the Marketing and Strategic Communications Department via BrandSource@osumc.edu. These items must be approved in advance. For Medical Center staff, guidelines can be found by clicking here or on BrandSource under Signage. Marketing and Strategic Communications will review the request and confer with any other appropriate departments. Temporary Signage or graphics may be removed at the discretion of an Administrator, Safety or Security personnel during the course of routine rounds if the item lacks approval; violates policy; is out of date or inaccurate; violates brand standards; or is a threat to the safety of others.
Special Event Decorating - The OSUWMC permits special event decorating and signage within its buildings. Questions regarding these guidelines should be directed to the OSUWMC Department of Safety and Emergency Preparedness at 614-366-9426.
Facilities Signage - Interior and external informational and wayfinding signage must be preapproved by OSUWMC Facilities Services. Medical Center staff can use an eServices form under Facilities & Material Management to request signs such as department, room ID and room use, stairway/elevator, evacuation, restroom, fire zone/you are here maps, and page holders.
